Introduction
Efficient patient flow management is crucial for enhancing the quality of healthcare services as long clinic room waiting times can lead to patient dissatisfaction, patient stress and personnel costs. More concerningly, those with poor prognosis malignancies can spend up to 10% of their total remaining days of survival waiting for care (1). Chart preparation prior to clinic start times can play a vital role in reducing patient waiting times and improving overall clinic efficiency.
Method:
The intervention of chart preparation entailed collating and synthesising investigations and information prior to clinic commencement. A retrospective review of the duration of clinic visits over the pre-intervention (June 2023 to February 2024) and post-intervention period (February 2024 to July 2024) was conducted. A subgroup analysis of ‘new’ patients compared to ‘review’ patients was also performed.
Results:
Duration of clinic visit for the first 1000 patients within the study period pre-intervention had a total clinic time of 1hour 41minutes; new and review patients in clinic for 1hour 53minutes and 1hour 39 minutes, respectively. Post-intervention, total time spent in clinic was 1hour 32minutes; new and review patients in clinic for 2hour 1minute and 1hour 26 minutes, respectively.
Conclusion:
Chart preparation is a simple and efficient method of reducing clinic waiting time. With approximately 10minutes saved per patient, this has translated into hours reduced in clinic and earlier clinic finishes.
